We have endeavoured to make these terms and conditions as straightforward and simple as possible, in the hope that people might actually read about what it is they're signing up to.

Privacy Notice: how ClubEnrolment.com uses data relating to parents and children

NB This section only concerns data about parents who use our service to enrol their children in a club or activity. We have a separate Privacy Notice about data on Club Organisers

Purpose of our Data Processing

When You enrol Your Child in a Club, Our System collects data about You and about Your Child. We are the Data Processor with respect to this information, which we use solely to provide the Service. We do not use it for marketing or for any other purpose. The Data Controller of this information is the Organiser of the activity, who has chosen to use Our Service.

The lawful basis for holding and processing this data is that it is necessary for the fulfilment of Our contract with the relevant Organiser, because We are their subcontractor and the data is in turn necessary for the fulfilment of the Organiser’s contract with You, i.e. necessary for the Organiser to admit Your Child into their Club.

Your data is held in data centres in Cambridge, UK and London, UK, which are operated by our subcontractor Mythic Beasts Limited (company no. 04052652). The data is not transferred outside these two data centres in the provision of Our Service. Howerver, some of our employees and/or contractors may use cloud-based email services (such as Gmail) so email that You send to Us may be held on cloud servers outside the EEA.

Your data will be retained for as long as you actively use the Service, i.e. for as long as one or more of your Children remains enrolled in one or more Clubs. If/when an Organiser “deletes” your data, the data is immediately hidden from them, but will still exist on our system for a period of 4 weeks, for the purposes of enabling us to properly investigate and diagnose any technical problems that might occur. After that time, your personal data will be deleted from our database. When an Organiser ceases to use our service, we will normally retain your data for 6 months after the Organiser’s last login, for our Legitimate Interest in helping the Organiser to start using the Service again should they so choose. After 6 months of activity from the Organiser, We will delete Your personal data. If you would like this to happen sooner, you should ask the Organiser.

We take a “snapshot” of our entire database every 6 hours and keep these copies until they are one week old, for the purposes of enabling us to properly investigate and diagnose any technical problems that might occur. Each database “snapshot” is deleted after one week.

You have a right to request a copy of all the data relating to you that We hold, but your should talk to the relevant Organiser(s) to obtain this. They are the Data Controllers who would be responsible for releasing this information to you, while we are the Data Processors.

You have a right to complain to the ICO about our processing of your data, but we’d appreciate it if you could talk to us about it first. :)

When You create a Club Organiser’s account at ClubEnrolment.com, We collect data about You and Your business. We are the Data Controller with respect to this information, which we use solely to provide the Service. We do not use it for marketing or for any other purpose.

The lawful basis for holding and processing this data is that it is necessary for the fulfilment of Our contract with You in order for You to use Our Service.

Your data is held in data centres in Cambridge, UK and London, UK, which are operated by our subcontractor Mythic Beasts Limited (company no. 04052652). The data is not transferred outside these two data centres in the provision of Our Service. Howerver, some of our employees and/or contractors may use cloud-based email services (such as Gmail) so email that You send to Us may be held on cloud servers outside the EEA.

In cases where You pay Us to use Our Service, you will also submit personal data to GoCardless.com, Our payment processor of choice. You can read about their GDPR compliance on their website

We will retain Your data and that of Your customers for as long as you continue to use the Service, and for a period of six months after the last occasion when You logs in to Our Service. At the end of this period, all personal data relating to Your customers will be deleted from our database. You can request that the data be deleted before the end of this six month period, and we will comply with your request promptly. Personal data relating to You will be retained for 7 years for tax and contractual liability purposes, and will then be deleted.

You have a right to request a copy of all the data relating to you that We hold, and we will endeavour to provide this to you in a widely useable format as quickly as possible if you request this from us. You also have the right to correct any incorrect information that we hold about you. We will normally do these actions free of charge, but reserve the right to levy a fee of £10 per request in order to fulfil repeated and/or vexatious requests.
